How do I add or edit a payment method?

Do this before creating a benefits package

A payment method (and its respective billing entity) should be created in Kota's platform even before you start creating your benefits package/s. This is because a benefits package cannot exist without an association with a specific entity and payment method; it's a mandatory step in the benefits creation process.

You should add your payment details on the 'Billing' page of your employer account.

Creating a payment method for the first time

A payment method must be always linked to a billing entity. As so, when you add your payment details for the first time, you'll have to create first your billing entity, and then specify its respective payment method details.

Creating additional payment methods


You might want to add more payment methods if you prefer to have different packages charged to different accounts/methods or different legal entities.

  1. On the Billing page, click on the button 'Add Payment Method' (if you wish to create an additional method to the existing legal/tax entity), or on 'Create Billing Entity' (if you wish to add a payment method belonging to a different legal/tax Entity - likely to happen if you have a global team).

    1. 'Add a Payment Method'

      Confirm all the previously saved information concerning your billing entity. Afterwards, you'll be able to insert your additional payment method.

    2. 'Create Billing Entity'
      Select the geographical area and country of your entity (these should refer to the country where this entity's employees are based) and insert all required entity information. Finally, you'll be able to insert this entity's payment method details.

Edit a payment method

In case you'd like to correct your payment method details, Kota allows you to overwrite the information previously inserted. When you go to your Billing page and click on your billing entity, we only display the last 4 digits of your card/IBAN; we're unable to show you the full payment method details as we don't store that information in our own database. For your own security, when you insert your payment details, we directly save them in Stripe - our payment partner.

Therefore, to edit your existing payment method, click on the pencil icon next to your payment method and fill in all the details. This will be linked to the billing entity you selected in the step above.

If you'd just like to modify details on your billing entity such as the VAT number or billing address, you can do so by clicking on the pencil icon on the 'Billing Details' box, also on the Billing page.
