What’s the information displayed in my homepage dashboard?

Once you have been onboarded to Kota and you have created your first benefit and employee profiles, your homepage dashboard will be populated with relevant information and shortcuts. Some sections will only display data after your first billing. Think of it as your monthly Kota snapshot.

You’ll find 4 different sections, which we’ll describe here in detail:

Latest documents

On the left hand, you’ll find the latest payroll reports and on the right hand the most recent invoices. Both types of documents are available on the Billing page too, along with previous months of payroll reporting and invoices.

👉 Kota doesn’t provide payroll files for the following benefits: UK Pension and IE Life

Employee breakdown

Here you can find a summary of your staff’s benefit statuses:

  • Enrolled: anyone that is enrolled in at least one benefit (either proactively opted in, or automatically enrolled). In this segment, you might find employees who have enrolled in one benefit but not yet in another one (e.g. an employee who has enrolled in Irish Pension, but not yet in Irish Health, even though you have invited them to both)

  • Invited: anyone that you have added to one or more benefits that need employee opt-in, but who have not yet opted in in any (e.g. invited but not yet opted in to Irish Health and Irish Pension).

  • Not Invited: anyone that you have not added to any benefits

  • Incomplete HRIS: if you have integrated your HRIS platform with Kota, this segment will represent the employees that have been synced to Kota, but are missing some mandatory attributes, which you should manually insert.

Benefits active

This section lists all core benefits you’re offering, per country. Any additional benefits that you have added to the ‘Bring Your Own Benefits’ section are excluded from this section, but you can find them on the Benefits page.

Spending

Here you can see the total benefits spend per month, for the last 12 months. What do these amount actually relate to?

  • Included ✅

    Employer benefit contributions

    Employee benefit contributions

  • Excluded ❌

    SaaS fees

    Irish Health TRS (which you have to send to Revenue)

Therefore, these amounts will match your benefits invoices and bank charges.

Hover the mouse over any month to glance at the total spend for that month. For a more detailed view, you can click on one month’s bar and you’ll see displayed below the breakdown per benefit and per country for that month.

⚠️ In case you are using multiple currencies to pay for benefits, those different amounts will be displayed separately per currency, as well as distinguished in the chart with different colours.
